Business Phone Systems for Technology Services

Technology businesses sell expertise, and customers expect to reach it quickly. Since 2004 Blake Telecom has supplied business phone systems for technology services, from IT support desks and software firms to electrical, automotive and aviation engineers who rarely sit at a desk.

When a Customer Calls, Something Usually Needs Fixing

Technician working in a car engine bay, one of many teams using business phone systems for technology services

Nobody rings a technology company for a chat. A server is down, a diagnostic has thrown an unfamiliar fault, a production line has stopped or a site needs an engineer, and the caller wants someone knowledgeable on the line straight away.

That is hard to deliver when your experts are on the road, up a ladder, inside a hangar or deep in a project. Calls land on an empty desk, and a simple question becomes a lost customer.

We set up cloud phone systems that follow your people rather than your building. Calls reach the right engineer or support desk wherever they are, and each conversation can be recorded, logged and picked up by a colleague.

Where Calls Go Wrong for Technical Teams

An IT managed service provider, an electrical contractor and an aircraft maintenance firm look nothing alike from the outside. Behind the scenes, their phones tend to struggle with the same three things.

Engineers Away From the Desk

Your most knowledgeable people are often on site, in a workshop or travelling between jobs. Mobile and desktop apps put the business number in their pocket, so customers still reach them.

Out of Hours Call Handling

Faults do not keep office hours. Time based routing can send evening and weekend calls to an on call engineer, a rota of mobiles or voicemail, depending on the service you promise.

Support Lines Under Pressure

One outage can bring dozens of calls in minutes. Queues, announcements and skills based routing keep callers informed and send each one to someone who can actually help.

A Clear Record of Every Technical Conversation

When a customer describes a fault, agrees a change or authorises a callout, a recording settles any later question about what was said.

Technical teams also use recordings to train new support staff, check the advice given over the phone and review calls about safety or contractual commitments.

Our VoIP call recording holds calls in warm storage for 30 days, extendable to 180 days, with cold storage up to 10 years when you need to keep them longer.

Worth checking: Contracts, service level agreements and regulators can all affect which calls you record and how long you keep them. Follow ICO guidance on telling callers, and the NCSC guide for small organisations on keeping recordings and accounts secure.

Features Built for Technical and Engineering Teams

Choose the features that suit the way your business supports its customers, whether that happens at a service desk, in a workshop or on a site hundreds of miles from the office.

Skills Based Routing

Send networking questions to your network team and vehicle faults to your diagnostics specialists, rather than to whoever happens to be free.

Hunt Groups and On Call Rotas

Ring a group of engineers together or in turn, and update who covers evenings and weekends as your rota changes.

Call Recording

Keep a record of fault reports, instructions and agreed changes for training, quality checks and resolving disputes.

Apps for Mobile and Laptop

Engineers make and take calls on the business number from site, the van or home, keeping their personal numbers private.

Customer Records on Screen

Link calls with customer records in your CRM, so whoever answers can see account details and recent history before saying hello.

Microsoft Teams Calling

Make and answer business calls inside Teams if that is where your technical teams already work together.

AI Notes for Job Sheets

Capture fault details and next steps after suitable calls, ready to copy into a ticket or job sheet.

Live Call Reporting

See call volumes, waiting times and missed calls as they happen, so you can move people onto the support line when it gets busy.

Start with what you need today and add features as your customer base and service commitments grow.

From Fault Call to Fix

Technical calls usually create work: a ticket to raise, an engineer to dispatch, a customer to keep updated. The less of that your team types by hand, the sooner the fix begins.

Connecting your phone system to your CRM and using AI-generated summaries cuts the admin between the call ending and the work starting.

1

Customer Reports a Fault

The call arrives on your support number, in or out of hours.

2

Account Details on Screen

Where your CRM supports it, the customer’s record opens as the call connects.

3

Right Engineer Connected

Routing passes the caller to the team or on call engineer who knows that kind of fault.

4

Notes Ready for the Ticket

An AI-generated summary records the fault and agreed actions once the call ends.

Scaling a Support Desk Into a Contact Centre

A small team answering the phone can become a busy service desk surprisingly quickly. When that happens, you can add contact centre tools to the same platform instead of starting again.

UCaaS for Distributed Technical Teams

UCaaS brings calling, video meetings, messaging and presence together in one cloud service. It works well for engineering and IT teams spread across offices, workshops, customer sites and home.

CCaaS for Service Desks

CCaaS adds queues, skills based routing and live reporting for businesses running a support line or service desk. It helps you measure answer times against the service levels you have promised your customers.

Technology Businesses We Work With

Technology services is a broad field, and each business relies on the phone in its own way. Electrical, automotive and other engineering firms will find more detail on our page about phone systems for engineering.

IT Support and Managed Service Providers

Run a service desk with queues, out of hours routing and recordings, so every support call is answered and linked to the right client.

Software and SaaS Companies

Give sales, onboarding and customer success teams one number, with apps for remote staff and room to add users as you grow from startup to scale up.

Electrical and Power Engineering

Put the office number on every engineer’s mobile, and send emergency callouts to whoever is on call that night.

Automotive Technology and Diagnostics

Connect customers with the technician who knows their vehicle, and keep workshop calls moving while hands are busy under a bonnet.

Aviation and Aerospace Engineering

Keep hangar teams, planners and customers in touch across sites and shifts, with a clear record of instructions given by phone.

Broadcast and Audio Visual Engineering

Support live events and installations with calls that follow engineers between studios, venues and client premises.

Security and Fire System Installers

Handle alarm faults and maintenance requests around the clock, with time based routing to the right engineer.

Telecoms, Data and Cabling Contractors

Coordinate installers, project managers and customers across several jobs at once, with every conversation available to review later.

Already Have a Phone System? Build on It

Plenty of technical businesses have invested in phone hardware, headsets or specialist systems that still do a good job. Throwing them away is not always sensible.

SIP trunking can connect compatible equipment to digital calling, letting you modernise in stages and move sites across one at a time.

We will review what you have and tell you plainly which route suits you: keeping your equipment on SIP trunking, switching to a hosted system or moving fully to the cloud.

Connectivity That Keeps Support Calls Clear

For technology businesses, the internet connection carries far more than phone calls. Remote support sessions, cloud platforms, video calls and large file transfers all compete for bandwidth, so we plan connectivity and calling together.

Leased Lines for Service Desks

A dedicated, uncontended connection suits service desks, data heavy teams and sites where downtime directly affects customers.

Taking broadband and telephony from one supplier gives you one team to call when something is not working, rather than two companies pointing at each other.

How We Plan Your New Phone System

Technical teams rarely work nine to five from one building, so we begin by mapping how calls really move through your business today.

Map Your Service Commitments

We look at your support hours, response targets and on call arrangements, then design routing that helps you meet them.

Allow for Field and Site Work

We work out who needs mobile apps, desk phones or headsets, and how calls should reach people between jobs.

Agree Recording and Access

We decide with you which calls to record, how long to keep them and who in your team can listen back.

Leave Room to Grow

Adding users, sites or a new support line should be simple, so the design allows for it from the first day.

You end up with a phone system that fits your service model now and adapts as your technical team grows.

Recognition for the Platform Behind Your Calls

Questions Technology Businesses Ask Us

Can out of hours calls go straight to our on call engineer?

Yes. Time based routing sends calls to whoever is on call outside office hours, whether that is one mobile, a group of engineers or voicemail. You can update the rota whenever shifts move.

Does it work as a service desk phone system?

Yes. Queues, skills based routing, announcements and live reporting give a support team what it needs to cope with busy periods. Larger desks can add contact centre features as call volumes grow.

Can field engineers use the business number on their mobiles?

Yes. The mobile app lets engineers make and receive calls on the business number, so customers never see a personal mobile number and calls stay with the company if someone leaves.

Do technology companies need to record calls?

There is rarely a blanket legal requirement, but many choose to. Recordings help settle disputes about agreed work, train new support staff and show what advice was given. Contracts or regulators may set specific rules in your sector.

How long do you store call recordings?

Recordings stay in warm storage for 30 days, and this can be extended to 180 days. If contracts or regulators require longer, cold storage is available for up to 10 years.

Will it connect to our CRM or ticketing system?

Integration with many popular CRM platforms is available, linking calls to customer records. Support for ticketing and service desk tools varies, so tell us what you use and we will confirm what is possible before you sign anything.

What happens to our calls if the office internet goes down?

Because the system runs in the cloud, calls can divert to mobiles or another site you choose in advance, and engineers already using the app carry on as normal.

Can we move our existing numbers across?

In most cases, yes. Local numbers, 03 numbers and freephone business phone numbers can usually be ported, and we coordinate the move so customers keep calling the numbers they know.

How quickly can we add new engineers or users?

New users can be added quickly once your system is live, with no new wiring and nothing more than a headset or handset if they want one. That suits businesses that take on contractors or grow in bursts.

What do business phone systems for technology services cost?

Pricing depends on user numbers, features and connectivity. See our VoIP pricing page for the options, or ask us for a quote built around your team.
