Business Phone Systems for Manufacturing

On a manufacturing site, a missed call can mean a delayed order, a stalled line or a lorry waiting at the gate. We have been providing phone systems for manufacturing since 2004, connecting offices, shop floors, warehouses and field teams on one system.

When the Office and the Shop Floor Lose Touch

Welder at work on a busy shop floor, where phone systems for manufacturing have to cope with noise and distance

In many factories, the office has good phones and the shop floor has almost none. Supervisors walk the length of the building to find someone, while a customer on hold waits for an answer that is two hundred metres away.

Meanwhile, suppliers ring about deliveries, customers chase orders and engineers call in from site, often all at once and often to the wrong person.

A cloud manufacturing phone system puts the office, the production floor and the warehouse on one system, so calls reach whoever can answer them, wherever they happen to be standing.

In noisy areas, choose handsets and headsets that work alongside hearing protection, following HSE guidance on noise at work.

Why Factory Communications Are Harder Than They Look

A food producer, a precision engineering firm and a packaging plant make very different things. Their phones, though, usually struggle for similar reasons.

Noise, Distance and Gloves

Production areas are loud, large and hard on equipment. Rugged cordless handsets and headsets with good noise cancelling make calls possible where a desk phone never would.

Shifts Around the Clock

Night and weekend shifts need calls routed to whoever is on duty, not to an empty office. Time based rules switch routing automatically as each shift starts.

Several Sites, One Business

Plants, warehouses and sales offices are often miles apart. One system lets them transfer calls, share an operator and dial each other on short extensions.

Keeping a Record of Orders, Changes and Complaints

When a customer changes an order by phone or a supplier agrees a new delivery date, a recording is the simplest proof of what was said.

Recordings also help train new sales and customer service staff, settle quality complaints and review calls about incidents on site.

Our VoIP call recording saves each conversation in 30 days of warm storage, extendable to 180 days, with cold storage up to 10 years.

Good practice: Tell callers when calls are recorded, decide who can listen back, and keep recordings only for as long as you genuinely need them, as ICO guidance recommends.

Features Built for the Shop Floor and the Office

Choose features that work in a quiet office and on a noisy production line, with the same business number behind every call.

Rugged Cordless Handsets

Compatible DECT handsets built to cope with dust and knocks, so supervisors can take calls anywhere on site.

Loudspeaker Paging

Page a supervisor or forklift driver over compatible speakers when they are too far from a phone.

Ring Groups by Department

Ring goods in, dispatch or quality together, so the first free person picks up.

Shift Based Routing

Send calls to the night shift supervisor automatically when the office closes.

Teams Calling for Office Staff

Office teams can make and take calls in Microsoft Teams, while the shop floor uses handsets on the same system.

Order History on Screen

Where your CRM or ERP system supports it, customer details and recent orders appear as the call arrives.

Chat Translation for Overseas Suppliers

Where included, web chat can be translated as you type, helping teams deal with customers and suppliers abroad.

Alarm and Door Entry Lines

Compatible alarm, lift and door entry lines can often connect to the platform, so old lines can be retired with confidence.

Start with the areas that matter most and extend the system to more sites and teams as you go.

How a Customer Order Call Reaches the Right Desk

Order calls should never bounce around the building. Most of the time, the caller needs one of three people: sales, production planning or dispatch.

Menus, CRM or ERP lookups and AI-generated summaries get the call to the right person quickly and leave a clear note of what was agreed.

Sales, Service and Spares Lines That Scale

Busy order and spare parts lines often grow into a small contact centre without anyone planning it. Because UCaaS and CCaaS share one platform, those teams can gain queues and reporting while the rest of the site stays on standard calling.

UCaaS for Offices, Plants and Warehouses

UCaaS joins calling, meetings, chat and presence for every site in one cloud service. It lets office teams see who is free on the shop floor before they transfer a call.

CCaaS for Order and Spares Teams

CCaaS brings queues, call backs and live reporting to teams handling orders, spares and customer service. It helps you spot peaks, such as the Monday morning order rush, and staff for them.

Manufacturers and Industrial Businesses We Support

Every plant runs differently, from single site workshops to groups with factories abroad. Firms that design and test products as well as make them may also find our page on phone systems for engineering useful.

Food and Drink Producers

Keep hygiene controlled areas connected with wipe clean handsets, and route supplier calls straight to goods in.

Precision and General Engineering

Connect estimators, workshop leads and customers, with recordings of agreed specifications and changes.

Automotive Suppliers

Answer just in time delivery queries from customers’ plants quickly, with calls sent straight to logistics.

Chemicals and Plastics

Reach supervisors on large sites fast, with paging and cordless handsets where compatible, and records of safety related calls.

Packaging and Printing

Manage artwork approvals, order changes and delivery slots across sales and production on one number.

Metal Fabrication and Steel

Give site foremen and installation teams the business number on their mobiles, even on customer premises.

Building Products and Timber

Handle trade counter, merchant and site delivery calls across depots, with one number for customers.

Electronics and Electrical Assembly

Connect design, test and assembly teams across sites, with short extension dialling between every building.

Less Hardware in the Comms Room

Older phone systems usually mean a server in the comms room, a maintenance contract and a box that needs power and cooling all year.

Moving to the cloud removes most of that equipment. The platform is maintained for you, updates arrive automatically, and there is less on site to power, cool and replace, which also helps sustainability targets.

If existing handsets are still reliable, SIP trunking can keep them in service while you move across at your own pace.

Reliable Connections for Every Site and Building

Large sites often need more than one connection: a leased line for the main office, broadband for outlying buildings and good wireless coverage on the floor for cordless handsets and apps.

Leased Lines for Multi Site Groups

A leased line gives a head office or busy plant its own uncontended connection for calls and data.

How We Plan a Phone System Across Your Site

Before recommending anything, we look at your buildings, noise levels and shift patterns, because they matter as much as headcount.

Survey Coverage and Noise

We check where cordless handsets, speakers and headsets are needed, and where wireless coverage may need a boost.

Map Departments and Shifts

We agree who answers what, and how calls change between day, night and weekend shifts.

Plan Links to Your Systems

We look at your CRM, ERP and alarm lines to see what can connect and what should stay separate.

Roll Out Site by Site

Larger groups can move one site at a time, with each go live planned around production.

The result is a phone system that works as hard on the shop floor as it does in the office.

Manufacturing Phone System Questions

Will cordless handsets work on a large factory floor?

Usually, yes. A well planned factory phone system uses enough DECT base stations for the size and layout of the site. We check coverage before recommending how many you need.

Can we page staff over loudspeakers?

Compatible IP paging speakers can be connected, so reception or supervisors can make announcements to the whole floor or a single area.

How do calls work across day and night shifts?

Time based routing changes where calls go as each shift starts and ends, so the night supervisor receives calls without anyone changing settings by hand.

Can our sites call each other on short extensions?

Yes. Every site joins the same system, so staff dial colleagues by extension and transfer calls between buildings as if they shared one office.

Will it connect to our ERP or CRM?

Many CRM platforms integrate directly, and some ERP systems can link through the same tools. Send us the names of your systems and we can check how they connect.

What happens to our alarm and lift lines?

Many alarm, lift and door entry lines can move to digital alternatives. We check each one with you, because some need specific equipment or a dedicated line.

Do manufacturers need to record calls?

There is usually no legal requirement, but recordings help settle order disputes, quality complaints and supplier disagreements, and they are useful for training.

How long are factory call recordings kept?

Every recording is kept in 30 days of warm storage, extendable to 180 days, with cold storage packages lasting up to 10 years.

Can staff on the road use the business number?

Yes. Sales, installation and field engineers use the mobile app to call from the business number, so customers always see one number.

Can each site keep its existing numbers?

Usually, yes. Business phone numbers for each plant and office can normally transfer, so customers and suppliers keep using the numbers they have always called.

Is VoIP for manufacturers reliable enough for a busy plant?

Yes, with the right connection behind it. Calls run over your broadband or leased line, so we size connectivity for your call volumes and add a backup line where downtime would be costly.

What do phone systems for manufacturing cost?

It depends on users, handsets for the floor, the number of sites and connectivity. Our VoIP pricing page shows standard packages, and we quote larger sites after a survey.
