Auto Dialler Software for Outbound Teams
An auto dialler is software that places outbound calls from a contact list. It passes each answered call to a free agent. Your team spends its time talking, not dialling.
Want to know if it suits your campaign? Call us and we will go through your lists and call volumes.
What Is an Auto Dialler?
An auto dialler is software that places outbound calls for your agents. It works through a list of contacts and passes each answered call to a free agent.
Agents spend less time dialling, waiting and logging unanswered calls. More of the day goes on real conversations. It is one of the tools in a CCaaS platform.
- Calls are placed for your agents, and answered calls are passed to them
- Contact lists, callbacks and notes in one place
- Reports show connect rates and talk time
For illustration only. The screens and messages shown are examples, not real customer data or live systems.
What Types of Auto Dialler Are There?
There are three main types. The right one depends on your call volumes and how much preparation each call needs.
| Type | How it works | Suits |
|---|---|---|
| Predictive | Dials several numbers at once, based on how many agents are free and how often calls are answered. | Large teams working through long call lists |
| Progressive | Dials the next number as soon as an agent is ready. | Teams that want a steady pace with an agent always ready |
| Preview | Shows the agent the contact’s details first, and the agent chooses when to call. | Complex or high-value calls that need preparation |

Compliance Tools

What Do the UK Rules Expect From Outbound Calling?
Outbound calling in the UK is regulated, and the rules depend on who you call and why. These points come up most often.
- Let unanswered calls ring for at least 15 seconds before the dialler hangs up, as Ofcom’s guidance expects.
- If a call is abandoned, play a short recorded message that names your business, and wait before you try that number again.
- Show a valid caller number that people can ring back.
- Screen sales and marketing lists against the Telephone Preference Service and, for business numbers, the Corporate TPS.
- Keep records, so you can show how and when each contact was made.
Rules change, so check Ofcom and Information Commissioner’s Office guidance before each campaign. We can set the dialler up to follow them.
Key Terms for an Auto Dialler
Outbound teams use a few special words. Here is what each one means for your auto dialler.
Connect rateThe share of dialled calls that reach a real person.
Abandoned callA call that connects but has no agent ready. The person hears silence or hangs up.
Dialling ratioHow many numbers the dialler calls for each free agent.
Answering machine detectionSpots voicemail greetings so agents do not waste time on them.
Do-not-call listA list of numbers that must not be called.
CampaignA set of calls with one goal, such as renewals or reminders.
Where Does an Auto Dialler Help Most?
An auto dialler suits any team that makes many calls each day.
Agents work through new enquiries without dialling by hand. More of each hour goes on real conversations.
Appointment, payment and renewal reminders reach more people in less time.
Short feedback calls run in a steady rhythm. Results come back faster.
Teams check in with existing customers on a regular schedule.
Common Mistakes With an Auto Dialler

Questions About Auto Diallers
Here are the questions we hear most often about auto diallers. If you cannot see yours, we are happy to help. Our contact us page has the details, or you can read our blog.

An auto dialler is software that places outbound calls from a contact list and passes answered calls to a free agent. Agents spend more of their time talking.
No. A robocall plays a recording. An auto dialler connects answered calls to a live agent, who has the conversation with the contact.
Predictive suits large teams with long lists. Progressive suits steady campaigns. Preview suits complex calls that need preparation. Tell us about your campaign and we will advise.
It can connect to many CRM systems. Contact details then appear on screen and notes are saved to the right record. Tell us which CRM you use and we will confirm how it connects.
Yes, but your calls must follow UK rules. These include checking consumer numbers against the Telephone Preference Service and limiting silent or abandoned calls. We can help you set the system up to follow them.
It watches agent status. When an agent finishes a call and sets themselves available, the auto dialler places the next call or connects one that is already answered.
It is a feature that spots a voicemail greeting. The auto dialler can then hang up, leave a message or reschedule the call. Agents then speak only to people.
Some can play a recorded message when voicemail answers. Check the rules for your type of call first, and ask us what is available.
Yes. Agents log in over the internet. They can use the auto dialler from the office, at home or from another site.
It can. Recordings help with training and checks. Tell people that calls are recorded, and keep recordings only as long as you need them.
It is the number of calls the auto dialler places for each free agent. A higher ratio keeps agents busier, but it raises the risk of a call with no agent ready.
Ofcom’s guidance expects unanswered calls to ring for at least 15 seconds before the dialler hangs up. Check the current guidance before each campaign, and we will set the dialler to match.
If no agent is free when someone answers, the call is abandoned. Ofcom’s guidance expects a short recorded message that names your business, and a wait before you try that number again.
