Auto Dialler Software for Outbound Teams

An auto dialler is software that places outbound calls from a contact list. It passes each answered call to a free agent. Your team spends its time talking, not dialling.

What Is an Auto Dialler?

An auto dialler is software that places outbound calls for your agents. It works through a list of contacts and passes each answered call to a free agent.

Agents spend less time dialling, waiting and logging unanswered calls. More of the day goes on real conversations. It is one of the tools in a CCaaS platform.

  • Calls are placed for your agents, and answered calls are passed to them
  • Contact lists, callbacks and notes in one place
  • Reports show connect rates and talk time

What Types of Auto Dialler Are There?

There are three main types. The right one depends on your call volumes and how much preparation each call needs.

Auto dialler types compared
TypeHow it worksSuits
PredictiveDials several numbers at once, based on how many agents are free and how often calls are answered.Large teams working through long call lists
ProgressiveDials the next number as soon as an agent is ready.Teams that want a steady pace with an agent always ready

Features to Look For

Contact List Management

Upload lists, split them into campaigns and set how often each contact is tried.

CRM Links

Connect to your CRM so contact details appear on screen and call notes are saved to the right record.

Answering Machine Detection

Spot voicemail greetings so agents are not kept waiting on calls nobody will answer.

Callbacks

Let a contact ask for a call at a better time, and have the system remind the agent.

Coaching and Reporting

Review recorded calls, then use call volumes, connect rates and talk times to see what works.

Compliance Tools

Options to respect do-not-call lists and limit repeat attempts, which helps you follow the rules that apply to your calls.

Who Benefits From an Auto Dialler?

Any team that makes a lot of outbound calls can save time.

  • Sales and lead follow-up
  • Appointment and payment reminders
  • Customer surveys and feedback
  • Renewals and account reviews

Proactive Outreach by Text and Messaging

Calling is not the only way to reach people first. Text and messaging campaigns can notify, ask and alert customers at scale, on the channels they check most.

  • Appointment and payment reminders
  • Two-way replies that lead to an agent or an automated assistant
  • Surveys and feedback after a conversation
  • Alerts when a service or booking changes

What Do the UK Rules Expect From Outbound Calling?

Outbound calling in the UK is regulated, and the rules depend on who you call and why. These points come up most often.

  • Let unanswered calls ring for at least 15 seconds before the dialler hangs up, as Ofcom’s guidance expects.
  • If a call is abandoned, play a short recorded message that names your business, and wait before you try that number again.
  • Show a valid caller number that people can ring back.
  • Screen sales and marketing lists against the Telephone Preference Service and, for business numbers, the Corporate TPS.
  • Keep records, so you can show how and when each contact was made.

Rules change, so check Ofcom and Information Commissioner’s Office guidance before each campaign. We can set the dialler up to follow them.

Key Terms for an Auto Dialler

Outbound teams use a few special words. Here is what each one means for your auto dialler.

Connect rateThe share of dialled calls that reach a real person.

Abandoned callA call that connects but has no agent ready. The person hears silence or hangs up.

Dialling ratioHow many numbers the dialler calls for each free agent.

Answering machine detectionSpots voicemail greetings so agents do not waste time on them.

Do-not-call listA list of numbers that must not be called.

CampaignA set of calls with one goal, such as renewals or reminders.

Where Does an Auto Dialler Help Most?

An auto dialler suits any team that makes many calls each day.

01
Sales Follow-Up

Agents work through new enquiries without dialling by hand. More of each hour goes on real conversations.

02
Reminders

Appointment, payment and renewal reminders reach more people in less time.

03
Surveys

Short feedback calls run in a steady rhythm. Results come back faster.

04
Account Reviews

Teams check in with existing customers on a regular schedule.

Common Mistakes With an Auto Dialler

Most problems start with the list or the settings. Avoid these errors.

Check before you launch

Old call lists. Clean your lists before each campaign.
Ignoring the rules. Check do-not-call lists and calling hours.
Too many retries. Limit how often each number is called.
No script or guide. Give agents clear prompts.
Not watching the numbers. Review connect rate and talk time each week.
