IVR Phone System for Business
An IVR phone system is the automated menu that greets callers. It handles simple requests and sends everyone else to the right team. Callers press a key or simply say what they need.
Curious how it would sound for your business? Call us and we will talk you through a menu for your callers.
What Is an IVR Phone System?
IVR stands for interactive voice response. It is the automated greeting that offers callers a choice, such as press 1 for sales or press 2 for support.
Callers can use their keypad or, on many systems, their voice. The IVR phone system then answers a simple question itself or sends the call to the right team.
- Callers reach the right team without waiting for a receptionist
- Simple questions are answered automatically
- A person is always available when needed

How Does an IVR Phone System Work?
Caller Hears a Greeting
The call connects and a recorded message welcomes the caller and explains the options.
Caller Makes a Choice
They press a key or say a few words to explain what they need.
System Responds
The IVR gives a simple answer, takes a message or looks up details, depending on how you set it up.
Call Reaches the Right Place
If a person is needed, call routing sends the caller to a suitable agent or team. See our call routing guide.
Ways Businesses Use IVR
Direct Callers
Send sales, support and accounts enquiries to separate teams from the very first menu.
Handle Simple Requests
Share opening hours or directions automatically, which leaves agents free for conversations that need a person.
Take Callbacks
Let callers leave their number instead of waiting, and ring them back when an agent is free.
Cover Out of Hours
Play a different greeting at night or on bank holidays, and offer an emergency option if you need one.
What Does IVR Do for Your Business?
Shorter Queues
Routine questions are dealt with automatically. Fewer callers are left waiting for an agent.
Fewer Transfers
Callers choose where they need to go, which cuts down the passing of calls from person to person.
More Time for People
Agents spend their day on calls that need a human, which is more rewarding for them and better for the caller.
A Professional First Impression
Every caller hears a clear, consistent greeting, whatever the time and however busy your team is.
What Does an IVR Call Look Like From Start to Finish?
Most people have used an IVR phone system without thinking about it. The journey is short, and each step has a clear job.
- 1. The call connects and the automated greeting answers.
- 2. The caller picks an option on the keypad or by speaking.
- 3. The system either completes a simple task, such as a payment, or finds the right team.
- 4. If an agent is free, the call goes straight through. If not, the caller joins a queue or asks for a callback.
- 5. What the caller already said appears on the agent’s screen. Nobody has to repeat themselves.

What Can Callers Do Without Speaking to an Agent?
Welcome. Please choose an option

Self-service handles simple, repeatable requests, which leaves your team free for the calls that need a person. Callers can usually:
- Hear opening hours and recorded messages
- Check an account balance or an outstanding bill
- Pay through a secure third-party payment gateway
- Set or change a PIN
- Look up product or service details in a voice directory
- Ask for a callback instead of waiting in a queue
Complex or sensitive queries still need a person. Offer the option to speak to an agent at several points in the menu. Nobody should feel stuck.
Tips for a Good IVR Menu
Keep It Short
Aim for a handful of options. Long menus tire callers before they reach the one they need.
Always Offer a Person
Self-service suits simple requests. Make it easy to reach a live agent for everything else.
Mention Recording Once
Tell callers when calls are recorded, as UK GDPR expects, but keep the message brief.
Offer More Than One Language
If many of your callers speak another language, add a menu option for it.
From Menus to Virtual Agents
Fixed menus suit simple choices. A virtual agent goes further. Callers say what they need in their own words. The agent understands, then answers or routes the call.
It can work on voice and on digital channels, which gives customers the same help by phone, web chat and text. Read our AI contact centre guide.

What Technology Sits Behind an IVR Phone System?
An IVR phone system is a type of computer telephony integration, often shortened to CTI. That simply means the phone system and your business software work together on the same call. Three parts make it run:
- A network connection that carries the call over the internet
- A database that holds live information, such as account details
- A server that hosts the IVR software and follows the menu you design
Voice-led menus add two more tools. Automatic Speech Recognition turns what the caller says into text. Natural Language Processing then works out what they mean, so a caller can say "I’d like to pay my bill" instead of pressing keys. You can read more on our AI contact centre page, and see how calls are shared out on our automatic call distribution page.
How Do You Set Up an IVR Phone System?
Six steps take you from a blank page to a menu that callers find easy.
Map your teams and call types
List each team, what callers ask for and when each team is available. Draw it on paper before you touch the system.
Keep the menu short and shallow
Aim for five options or fewer on each level, and no more than three levels. Let callers interrupt, so they can answer before the message ends.
Write a short greeting
Keep the main greeting to about 30 seconds and put the most common option first. A clear voice, recorded by a professional or a good text-to-speech tool, sounds better than a rushed recording.
Plan for mistakes
If a caller presses nothing or the system does not understand, repeat the options once. After two or three tries, pass the caller to a person, with the details they have already given.
Set your hours and bank holidays
Add opening hours and UK bank holidays in advance, with a different greeting and a message option when you are closed.
Test, then review
Call every path from a mobile and a landline. Every few months, check how many callers reach an agent, how many hang up and which options nobody uses.
Good and Poor IVR Menus Compared
Small choices make an IVR phone system easy or frustrating to use. This table shows the difference.
| Area | Poor menu | Good menu |
|---|---|---|
| Options | Eight or more choices | Four or five clear choices |
| Greeting | Long, with repeated messages | Short and friendly |
| Labels | Internal jargon | Words that callers use |
| Help | No way to reach a person | A clear route to an agent |
| Testing | Never reviewed | Reviewed every few months |

IVR stands for interactive voice response. It is the automated menu that greets callers and lets them choose where their call goes, using the keypad or their voice.
They are close. An auto attendant directs callers to the right place. An IVR can go further and handle simple requests itself, such as sharing opening hours. Many systems offer both.
Yes, and they should always be able to. A good menu offers a clear route to a live agent. Callers never feel stuck in a loop.
Aim for about five at most. Short menus are easier to follow, and callers can reach the right team faster.
Yes. You can play a different greeting at night, at weekends or on bank holidays, take a message or offer a route to an on-call contact.
Voicemail records a message. An IVR phone system greets callers, offers choices and sends them to the right place. It can also take messages.
It can. Callers use the menu, then reach colleagues who work in Teams. Tell us how you work and we will confirm the set-up.
Yes. You can offer a language choice at the start of the menu. Callers then hear the rest in the language they picked.
DTMF stands for dual-tone multi-frequency. It is the tone your phone makes when you press a key. The IVR phone system reads these tones to follow your choice.
Keep it short. A friendly welcome and the first options should take only a few seconds. Callers listen better to short messages.
Review it every few months, and after any change to your team or opening hours. Check the reports to see which options callers choose.
Keep it to three levels at most, with five options or fewer on each. Deeper menus lose callers before they reach the right team.
Yes. You can add UK bank holidays in advance, so callers hear a different greeting or reach an emergency contact on those days.
Often, yes. A caller can leave a message after hours and it can be sent to a named person or team inbox, depending on how your system is set up.
